Position Summary:  Supervise direct and indirect reports, manage the operation of the Paralegal Department, and work with the Director of Administration and the partner in charge of the Washington paralegal program to formulate policies and procedures which will enhance the department.

Essential Functions:

  • The direct supervision and management of the Paralegal Department. Staff positions include all Paralegals, Document Clerks, Practice Group Assistants, temporary contract paralegals (staff).
  • Function as a back-up paralegal when case project assistance cannot be maintained by other coordination.
  • Ensure all members of the team adhere to Firm policies and procedures; responsible for resolving employee relations matters as necessary (working with Human Resources Department as necessary).
  • Recruitment of all staff positions in conjunction with Director of Administration and Human Resources.
  • Maintain optimal staffing levels and anticipate long-range planning on paralegal staffing.
  • Coordinate all work assignments for staff and consult with attorneys to ensure all assignments are managed successfully; maintain acceptable levels of performance for all assignments.
  • Ensure collaboration with attorney population and work with the team to achieve better utilization and realization of paralegals; coordinate with practice areas to promote teamwork and effective use of paralegals; monitor progress of changes in utilization; develop, propose and implement new paralegal policies as needed to enhance the productivity of the team.
  • Prepare periodic statistical reports as needed, on subjects such as: employee status, work assignment statistics, profitability analyses, and departmental budget.
  • Identify new areas in which paralegals can provide service to attorneys, clients and the Firm.
  • Develop resources for attorneys on legal procedures as applicable, such as: UCC filings, SEC filings, general corporate filings, and other governmental filings.
  • Maintain up to date knowledge of all relevant technology as it would benefit the team and the Firm and present proposals as necessary.
  • Assist Electronic Discovery Service Managers with litigation support management on large litigation cases.
  • Establish protocols including efiling and general case management support for complex litigation.
  • Coordinate multi-office case management with US Paralegal Managers and Supervisors.
  • Review paralegal utilization performance monthly and report issues to Director of Administration.
  • Maintain current knowledge on relevant practice specific regulations and procedures and deliver the information to the team and the attorneys as necessary.
  • Work with outside vendors to ensure highest quality service and maximum efficiency in billing and accounting.
  • Other duties and projects as requested or required.



Specific Technical Skills: Working knowledge of cite checking and Bluebooking. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Knowledge of law firms, general corporate housekeeping, conducting and closing a variety of corporate transactions, making of SEC and other government filings.  Working knowledge of databases including Relativity, Concordance, Case Map, Westlaw Case Notebook and Experience using document management software, Lexis, Westlaw, Edgar, Pacer, electronic discovery management database/tools, and work with Docket's Compulaw and Courtlink applications.

Management Accountabilities:

  • Manage processes on direct reports for performance appraisals, merit increases, merit bonuses, goal setting, performance corrections
  • Member of the Washington office departmental management team involved in maintaining a positive culture and morale within the Washington office
  • Plan and present in-house training programs and promote attendance at outside seminars.
  • Manage the paralegal office budget in collaboration with the Director of Administration, which includes developing the proposed budget and monitoring expenditures.

Physical Requirements: Ability to lift 25 lbs. Normal office environment requiring extensive use of typical business equipment (e.g., computer, telephone fax, copier, security system). Ability to navigate the office environment for meetings and to visit departmental staff at their work locations. Ability to travel on short notice when necessary. 

Education/Training/Certifications: Bachelors Degree required.

Minimum Years of Experience Required: Minimum 5 years paralegal experience required. Minimum 5 years supervisor/manager experience required. Law firm experience required.
